We have been informed by the Ministry of Education (SEP) that all face-to-face classes will be suspended starting Monday, March 23rd until April 3rd due to the COVID-19 pandemic. We invite you to continue to monitor the latest local, state, national and international information on the Coronavirus (COVID-19) as well as announcements by SEP authorities for more information.
Our ONLINE LEARNING CONTINGENCY PLAN will be in full effect on Monday March 23rd and remain in effect until face-to-face classes resume.
Please READ COMPLETELY and consider the following to support our contingency plan for online classes and learning (SPECIAL NOTES FOR KINDERGARTEN AND LOWER ELEMENTARY ARE AT THE END OF THE MESSAGE).
All students will be required to participate in online classes/activities assigned starting Monday, March 23rd.

School and Teacher Responsibilities.
- We will utilize the following official school platforms to provide classes, classwork and evaluation:
- Schoology
- Google Suite for Education
- Achieve 3000
- Khan Academy
- TurnitIn (Middle and High School only)
- We will follow our regular six-day schedule exactly as we do with face-to-face classes and start the contingency plan with online classes with Day 5 on Monday, March 23rd.
- Teachers will be online on SCHOOLOGY from 7:30am to 3:30pm Monday to Friday as well as checking their email regularly during that time starting March 23rd.
- Teachers will provide lessons, activities and resources online during the assigned times as per the 6-day schedule. For example, if a certain grade has computer class on Day 1 from 7:30am to 8:30am, the teacher will assign activities and be online for Q/A through schoology to assist students during that hour).
- Teachers may attempt to conduct live classes (synchronous), but we understand the challenges and troubles this may incur, and we are not requiring them to do so. Most of the classes and activities will be recorded, uploaded or based on pre-existing resources, so that students can work in an asynchronous form. Nonetheless, they can message teachers on Schoology during classes. Tools such as Google Drive documents and Google Meet can also provide students and teachers with tools for live engagement during class time.
- Recess times will be respected for each section. Neither students nor teachers are required to be online at these times.
- All assigned classwork/homework will be posted on the Schoology calendar and all assigned work will receive feedback (formative evaluation) and/or grades (summative evaluation). It is more important than ever while engaging with online classes that teachers guide students on the use of time management tools like calendars to stay on top of deadlines and re-submissions as per our homework policy.
- The platforms have multiple tools that will allow students to add posts on online discussions, upload recordings, take tests or exams online and engage with content posted by teachers. Teachers will provide explicit instructions on how to use them in their Schoology class.
- Teachers who are absent for personal reasons or illness will still have to provide activities but will not be online to assist students. You will be informed if a teacher is “absent” from their online schedule.
- Teachers are not permitted to create chat groups with students or parents through unofficial social media. Only Schoology and school email are permitted for communication and school-related activities.
- Teachers will encourage students to upload work via Schoology and the other platforms mentioned earlier on an hour-by-hour basis to maintain a regular routine and schedule. Flexibility for work handed in outside of class-time will be shown, as we cannot control Internet access or connection speed, but if work is not handed in within 24 hours, then late penalization will be applied as per our late homework policy.
- Teachers who record or hold live classes will be required to follow the dress code and school communication policies. We are requesting them not to have family/friends present in the same workspace while recording school-related activities to avoid distractions/disruptions.
- Teachers will follow all current school policies related to homework, communication, and evaluation. They are located on the permanent link in the Schoology calendar.
- Upcoming MAP assessments will be reprogrammed upon return to regular classes.
- We will keep 12th grade students updated on the status of the upcoming IB Examinations in May.
- Diploma teachers are expected to monitor 11th grade student progress on their independent assignments, such as Internal Assessments and the Extended Essay. Teachers must use discretion so as to avoid requiring from them tasks that might break with health authorities’ recommendations.
- Teachers are not permitted to lead or participate in any discussions with students or parents regarding the response of our school, state/federal government in regards to the COVID-19 pandemic. Responsibility for decisions and communication regarding those topics with our community will belong to General Direction only.
- All existing school policies remain in effect, including homework, classwork, assessment, attendance.
Student Responsibilities
- Ensure you have access to your Schoology account and classes, as well as your access to Khan Academy, Achieve 3000, and TurnitIn. If you do not have access to any of these, please contact your teacher by email (their email addresses are on the school website) or Hugo Hernandez [email protected]
- Ensure your digital devices are charged during class time and ready for daily activities.
NOTE: if you are using a cell phone, you should not have it plugged while actively using it for safety reasons. In the case specific content is not compatible with cell phone/tablet screens or apps, teachers will provide specific instructions and/or alternatives in this regard. If a student is not able to access or interact with any content related to an assignment, they must message their teacher immediately via Schoology or email. - Attend all online classes every day Monday through Friday during the regular school schedule. Individual teachers may provide for specific attendance-checking procedures, for example by requesting students “check in” on a Schoology discussion forum or add their names to an attendance log on a Google Drive document using their individual Google account.
- Have your school schedule at hand to know your day-to-day classes and manage your time. If you do not have it, it will be published in the Schoology Calendar in the permanent link for “Policies.”
- Have all school materials at hand (books, notebooks, and writing materials) and create an appropriate learning space for use during class time without distractions such as television shows, loud background music, or the use of other social media or apps.
- Complete all assignments and activities assigned by the teacher on a daily basis and upload them into Schoology or the other platforms if teachers indicate so.
- Avoid using the Schoology platform for non school/academic topics.
- Communicate proactively using proper online etiquette in Schoology.
- Avoid missing classes and allowing work to accumulate.
- If you are ill or will be absent online, please have your parent contact the section principal as we do when we have face-to-face classes.
- After school sports classes are suspended as of March 23rd, but the after school CLASP and Math support classes will be offered online as well in the same hours as per the schedule starting March 23rd.
- 11th Grade Diploma students are expected to continue making progress on their independent assignments, such as Internal Assessments and their Extended Essay. For these, they must stay in contact with their teachers/advisors regarding expected progress and deadlines as well as tasks. Teachers may exempt students from tasks that might require them to break with social distancing and other recommendations by health authorities.
- All school policies continue to be in effect including homework, classwork, assessment and attendance policies. In extreme situations where Internet access is limited or impossible to acquire, please seek alternative solutions. Not participating in the contingency plan for the online learning program is not considered a solution.
Parent responsibilities
- Support our online learning contingency plan. Show patience, flexibility and tolerance regarding the challenges we all will face in this endeavor. Should your child encounter difficulties in carrying out online tasks, you as parents can be a resource and a second channel of communication when students and teachers cannot solve issues on their own. For example, parents can suggest alternatives when specific resources/devices are not adequate for a student to complete a task

- Support your child(ren) about our online learning plan by talking to them about the importance of continuing their education, adhering to the schedule and managing their time (please do not do the work for him/her/them).
- Review, adhere to and respect our school policies published on the SCHOOLOGY CALENDAR
- Use the same protocols outlined in our Communication Policy and Plan with teachers, directors, psychologists, administration and personnel.
- Refrain from any communication with teachers regarding non-academic topics. If you have a concern about the school’s decisions regarding this plan please contact your section principal or General Direction rather than discussing them with the teacher(s).
- If your child is ill or will be absent online, please inform your Section Director as you would during our face-to-face classes.
- If you require a meeting with a teacher, section director or coordinator we can schedule an individual conference call through GOOGLE MEET. Please do not request teachers to provide their personal cell or home phone numbers.
- If you have difficulties with your Internet access at home, please seek alternatives to solve the problem as soon as you can and report it to your Section Director.
- If you have a situation where your child cannot be left at home alone and you have to work, please seek alternatives to solve the issue as soon as possible and report it to your Section Director.
- All school policies are in effect including homework, classwork, assessment, attendance. Your child simply not doing the assigned work due to connectivity issues is not considered an option as a solution.

SPECIAL NOTES: We understand the unique situation for kindergarten and lower elementary school students whose abilities to use technology independently is limited. Our section directors Ms Patricia Briones, Ms Matilde Gonzalez and our IB PYP Coordinator Maria Ines Mayaudon are working closely with teachers this week to prepare engaging activities that can be done to attend to this age group.
STRESS AND ANXIETY REGARDING COVID-19 or other issues
Our school psychologists are available to support you and your child(ren) regarding any anxiety or stress related to the COVID-19 pandemic and the implications on a social and emotional level. You can contact them by SCHOOLOGY using their name or through these emails.
